Bollin PTA Meeting

Monday 18th January 2010, 19:30 – 21:00, At The Bollin School

Parent Mail
Parent Mail is essentially a simple communications service between school and parents. It operates via email and text communications and bypasses the need to send paperwork/notes/newsletters etc out via the children. It ensures delivery of all messages and provides an audit trail of all messages sent and read.  It also enables urgent messages to be passed on to individual or groups of parents via their mobile phones.

Following the presentation it was widely appreciated how valuable this tool will be for the school and all parents concerned and it was agreed that the PTA will provide 50% of the annual costs for the school to have this service up and running.

Total annual contract cost:

£499 + VAT

This will increase to £599 + VAT once the school is at maximum capacity following the expansion.

Initial set up timescales will be 4-6 weeks during which time a ‘data capture’ will take place to encourage as many parents as possible to provide email/ mobile phone details to be part of this service.

It is important to note however that parents do not HAVE to be part of this service and can continue to receive paper based communications if they prefer.

Communication update

PTA Website: Following the distribution of the questionnaire, we have now received 30 responses giving input into what should be on the new website. This is being taken on board during the build and development of the site, and we aim to launch this site at the AGM.

Twitter: We are experimenting with using Twitter – find us there at http://www.twitter/bollinpta. For those who use Twitter, we hope you will find and follow us, as we hope this could be another vehicle for giving quick updates and reminders.

Communications support: Julie will continue in the communications role and manage the PTA website while taking maternity ‘time out’, but support is needed for the Newsletters, E-updates, posters and flyers.  Sophie Wilcockson volunteered to take on the development of newsletters, working with her husband Dominic Wilcockson who designs and print these.

NCPTA:We confirmed that we will renew our membership to the NCPTA. Vicky Potts to arrange for this to be set up as an annual direct debit payment to ensure membership is continuous.

AGM
This will be held at the school on Thursday 4th February. Parents are welcome from 6.00pm and food will be served from 6.30pm with a meeting start time of 6.45pm. Parents are welcome to bring their children along and we will hold a film night in one of the classrooms for them. Refreshments will also be available for the children.

Further details will follow via bookbags with information regarding vacancies on the PTA committee and procedures for nomination and election.

Parents will be advised to inform the school office if you are able to attend as we will require numbers for refreshments etc.

Promises Auction
Date change agreed to enable more time to prepare for this event. This will now take place on Friday 16th April 2010 at The Stamford Arms in Bowdon. Further details will follow via bookbags and class reps will be encouraged to gather in promises from their relevant classes. School staff are already planning their ‘promises’ and I can assure you this will be very memorable!

AOB
Summer Fair date agreed for Saturday 22nd May. It is anticipated that we will be able to use the public field opposite the school as well as school grounds. This will ensure a much bigger event that will really involve the wider community and hopefully improve relations with local residents.

As with all fairs, this will require a significant amount of organizing and if anyone feels they are able to donate some time to help with this event please contact Vicky Potts.
